Estimate how much you save by automating a repetitive task with AI. Compare the human labor cost against your monthly AI cost to see net savings.

How this is calculated

Manual cost per month = tasks per month × (minutes per task ÷ 60) × loaded hourly rate. Net savings = manual cost − AI cost per month. The 'loaded' rate should include salary plus benefits, overhead and management — typically 1.25–1.4× base pay — so the saving reflects true cost, not just wages.

This calculator asks you for the AI monthly cost directly (from your provider bill or one of our cost calculators) so you can compare any task, whether it's document processing, data entry, or triage.

Is this a good result? What to do next

A saving is only real if the freed hours are redeployed or removed from the budget. Aim for the AI cost to be a small fraction of the manual cost; if AI cost approaches manual cost, the task is either low-volume or a poor automation fit. Always net out the review time a human still spends checking AI output.

Typical planning ranges

Loaded labor multiplier over base pay
~1.25–1.4×
Worth automating
high volume × repetitive × rules-based
Healthy AI-to-manual cost ratio
AI cost << manual cost

Ranges are typical planning figures to sanity-check your result, not authoritative benchmarks. Your numbers will vary with use case, volume, and vendor.

How to improve this number

  • Automate the highest-volume, most repetitive tasks first.
  • Reduce verification minutes by improving prompts and adding validation.
  • Use a cheaper model for structured, well-defined tasks.

Common mistakes

  • Using base wage instead of a fully-loaded rate — it understates savings.
  • Assuming 100% automation; most tasks keep a human-in-the-loop share.
  • Counting saved hours that aren't actually removed or redeployed.

Worked example (defaults)

With the default inputs above, here is the result:
